MAJOR JOB OBJECTIVES

The HR Assistant is responsible for the day to day administrative support of the Human Resources function. This position will primarily support the Human Resources team in the following areas: Human Resources Information System (HRIS) database management, recruitment, employee events and recognition, communications, and other duties as assigned.  The HR Assistant will interact with a wide variety of employees on a basis.

 

PRINCIPAL RESPONSIBILITIES

  • Maintain Human Resources Information System (HRIS) database with current information pertaining to employment data, as required. Coordinate the resolution of discrepancies with Payroll Department to ensure consistency and timely processing
  • Oracle database maintenance including bid code checks for direct employees who change cost centers and/or job titles
  • Schedule employment interviews, background checks and onboarding activities.
  • Create and maintain employee personnel files; process new hire paperwork
  • Assist with Salary Action Approval Forms
  • Process terminations of all employees, contractors and consultants
  • Check PO end dates of contractors monthly and update HRIS with new end dates
  • Process Service Awards, bonus requests and Patent Awards
  • Process HR department mail and invoices
  • Lead Site LLS efforts (charitable fundraising activities)
  • Coordinate and assist in the promotion of site activities and events, such as Blood drives, Holiday lunches, Good Deeds Day, Employee Recognition events, etc.
    • Work with other department and the Activities Committee to plan events
    • Research vendors, determine pricing and place orders for materials or services
    • Process invoices ensuring accurate billing
    • Suggest creative communication plans and promote ticket or raffle sales
  • Prepare and distribute bi-weekly employee newsletter
  • Run required HR reports
  • Use technical and reporting abilities to gather data from multiple sources and then present this information to identify trends. May make recommendations based on HR metrics.

BACKGROUND REQUIRED

  • Associates degree and 5 or more years of directly related administrative experience
  • Will consider recent Bachelor’s degree graduates seeking experience in Human Resources.
  • Must have demonstrated ability to juggle multiple responsibilities and prioritize
  • Ability to work independently and pro-actively follow-up on plans/projects effectively.
  • Strong attention to detail is essential to success.
  • Ability to maintain confidential and sensitive information.
  • Strong verbal and written communication skills. Must be a proactive communicator.
  • Proficient in Microsoft Outlook, Word, and Excel. PowerPoint skills a plus.
  • Data analytics experience a plus.
  • The ideal candidate will have a desire to communicate with employees to create a positive candidate and employee experience and a desire to organize fun activities that employees will enjoy.
